Detailed examination before the introduction of SAP S/4HANA

What is the right time to convert to SAP S/4HANA?
The changeover must be feasible for your company at low risk and as problem-free as possible. Therefore we also consider the timeline of the changeover.
From 2027, SAP will discontinue maintenance without additional costs and the further development of the predecessor software SAP ECC. This will give you enough time to act - without having to act rashly.
We recommend our customers to deal with the changeover at an early stage. Companies should not underestimate the time and effort involved in preparing and implementing such a project.
In addition, exceeding the maintenance limit at the end of 2027 must be avoided under all circumstances - acting too late can have dramatic consequences for the security and operation of your SAP systems.

SAP S/4HANA: Options for the operating model
When choosing the operating model, the questions are particularly important,
- where the data is stored,
- where application programs and infrastructure are available and
- how flexibly the evaluations can be accessed geographically.
Whether stationary or in the cloud: The decision on this can have significant consequences for the field service, for branch offices or national companies as well as for the cooperation with service providers.
There are basically two solutions available:
- "Any-Premise" (either implemented on-premise, on the infrastructure of a hyperscaler such as AWS, Microsoft Azure or Google Cloud or in the "Private Cloud managed by SAP")
on the one hand, and
- "SAP S/4HANA Cloud" as Software as a Service (SaaS) with the two solutions "Essential Edition" (former Public Cloud or Multi Tenant Edition) and "Extended Edition" (former Private Cloud or Single Tenant Edition)
on the other side.
There is no blanket answer to the question of which concept is best. In order to come to a suitable solution, experts must analyze and get to know the respective enterprise situation exactly. The strategic corporate goals play a decisive role in this process.

In the following, we compare the different approaches and discuss the fundamental differences between private, public and hybrid cloud solutions.
SAP S/4HANA: On-Premise
On-premise means that software and hardware are available locally at your company. This is usually where applications, databases and SAP systems are located.
However, a pure on-premise is a theoretical concept. In most cases, on-premise and cloud solutions today are connected and exchange data.
This means that data sources that are already in the cloud are now added. These include, for example, external databases for customer relationship management, social media or the data transferred by IoT applications.
The disadvantage of an on-premise solution: The on-premise solid core may lack the speed that can be achieved with cloud solutions. Or the tools that SAP offers in the cloud platform may be missing.
The SAP cloud platform (Platform as a Service = PaaS) offers pre-built software as Software as a Service (SaaS). Hosting is also part of the package. SAP also provides tools in the cloud that you can use to create your own applications.
- With Data & Process Integration, data can be migrated to the cloud and stored in the cloud with database services using HANA technology.
- SAP Adaptive Server Enterprise (ASE) accelerates the online processing of transactions.
- Platform services are required for self-developed programs. Here, 30 services are already available, such as User Experience, Analytics or Predictive, in order to make predictions.
- Application Programming Interfaces (API) are used to manage and control programming interfaces.
Business services are also included in the cloud. These are small applications that can be used as interfaces. For example, evaluations for marketing can be carried out on customer loyalty.
The SAP cloud also includes Infrastructure as a Service (IaaS); the applications run in the SAP data center. The open source software Open Stack and Cloud Foundry guarantee a high degree of flexibility in the platform.
SAP S/4HANA: Public Cloud
A provider's public cloud offering is accessible to all persons or entities.
The public cloud was already known before the name was coined for it. Webmailers (to be able to manage e-mails with an Internet browser), for example, have been offered free of charge to the mostly private user for decades.
These offers are financed through advertising, sponsored offers or paid upgrades such as memory expansions or security features.
Later, solutions for the business sector were also developed. One reason for this was the increase in the transfer speeds of even large amounts of data over the Internet. On the other hand, the storage options became increasingly cheaper. Due to their extensive and professionalized offering, such solutions were subject to a charge from the outset.
In the case of SAP, for example, companies can purchase licenses for SAP S/4HANA and then operate the software suite via the infrastructure of a hyperscaler such as Amazon AWS or Microsoft Azure.
SAP S/4HANA: Private Cloud
With the private cloud, a company prefers to manage and process the relevant data locally by its own IT staff.
It hopes that this approach will provide higher data protection and better IT security than a public cloud solution. The idea behind it is: If the data cannot be read and updated from the outside, it is more secure.
In the private cloud, the interface to the cloud can consist of updates or upgrades for the software being managed and installed via the cloud. However, the company's data would then generally not be accessible via the cloud.
This handling leads to isolation to a large extent. This results in considerable disadvantages in terms of speed, efficiency, timeliness, responsiveness and market development.
As a result, the company's management cannot access data in real time to derive appropriate measures. The sales representative of a Hamburg-based company, who wants to discuss the achievement of objectives for his area in Munich with strategic partners, cannot access daily updated figures.
One private cloud from SAP is the "Private Cloud Managed by SAP". If a company decides on this solution, it acquires the licenses for SAP S/4HANA and then operates the application in the SAP HANA Enterprise Cloud (SAP HEC).
An alternative is the SAP S/4HANA Cloud, Extended Edition (Cloud EX). In the past, this SaaS variant was referred to as "private cloud". With this solution, companies can combine the functional scope and expandability of an on-premise solution with the advantages of a SaaS solution.
The key difference to "Private Cloud Managed by SAP" is that the company does not purchase the licenses for SAP S/4HANA, but subscribes to the software.
SAP S/4HANA: Hybrid Cloud
The Hybrid Cloud combines the concepts of the Public Cloud and the Private Cloud.
In most companies, the essential aspect for the approaches that will continue to coexist will be the idea of security.
It is possible that the company will open up to the public cloud to such an extent that data generated by a trustworthy strategic partner will be delivered via the cloud. This could be the findings of a market research institute, for example.
Or perhaps an employee in the field will have access to up-to-date data that can support his work with customers.
Cloud as a Service: The three services Software, Platform and Infrastructure
Cloud as a Service (CaaS) includes three large fields: Software-as-a-Service (SaaS), Platform-as-a-Service (PaaS) and Infrastructure-as-a-Service (IaaS).
The underlying service idea is:
- The required elements are already available ready to start, are maintained by SAP and are often supplemented with additional features.
- Software and hardware, applications, computing capacity and storage options are ready to be called up via the cloud.
- Updates are simply installed by SAP with SaaS and do not require any IT personnel capacity.
The solutions are universally suitable for many companies - and can therefore be used easily.
One of these SaaS solutions is the SAP S/4HANA Cloud - with its two variants Cloud ES (Essential Edition) and Cloud EX (Extended Edition).
The SAP S/4HANA cloud enables data from business processes to be viewed in real time. The solution also provides many tools for further processing of data in the cloud. At the same time, the data can be accessed anywhere via the Internet.
This data transparency and flexibility in the application offer management the opportunity to derive strategic measures without loss of time. At the working level, for example, a call center can view information on the current status and respond to complaints in an appropriate manner.
SAP Cloud for SAP S/4HANA: Integration and harmonization of different sources
Imagine the following scenario: Your on-premise systems are to be connected to other proprietary systems, field service hardware (such as smartphones and tablets) and the systems of external strategic partners.
This means many different sources, recipients and users of data. The problem: At the respective points, this can quickly lead to divergent data statuses - simply because the data exchange is so up-to-date.
The SAP Cloud therefore offers a solution for data integration and for process integration of even large volumes of data. For this purpose, the SAP Cloud provides ready-made content that supports data implementation.
Via API management (interface management), companies can communicate with customers, subsidiaries or partners. The SAP Cloud solution includes tools for preparing and delivering and for analyzing the data.
The package includes security for network and content as well as authorization and authentication mechanisms for end customers.
SAP S/4HANA: Implementation
With SAP Activate, SAP Data Services and the SAP Migration Cockpit, you get tools that support you in the migration to SAP S/4HANA.
The tools have been developed from experience to create a positive user experience for your employees.
Processes are meaningfully structured into individual, more easily understandable steps. In addition, there are various aids or even simulations in a test environment.

SAP Activate is an approach with which SAP S/4HANA can be introduced quickly and efficiently.
For this purpose, the tool has processes that are ready for use. They are designed to help simplify certain processes during the introduction of the SAP S/4HANA Business Suite. Activate supports the early phase of implementation with SAP Best Practices, Guided Configuration and Methodology.
- SAP Best Practices contains configured business processes for finance and logistics. This element supports both migration and integration of SAP S/4HANA. The Accelerator accelerates activation so that users can start working with SAP S/4HANA more quickly.
- The Guided Configuration contains a solution builder for best practices, a cloud configurator and an on-premise configurator. This tool allows you to tailor the cloud and on-premise more precisely to the needs of your business.
- The methodology includes four phases: preparation, exploration, implementation and deployment.
2. SAP Data Services
SAP Data Services is software that specializes in integrating and transforming data.
Data can be combined, edited or supplemented. With data services, you can develop and define work steps to edit or send data from source data stores.
In addition to this data processing and sending, SAP Data Services also includes tools for analyzing and standardizing the data.
Companies can process data within SAP Data Services classically as a batch or query it in real time.
3. SAP Migration Cockpit for SAP S/4HANA
With the SAP Migration Cockpit, data from various sources can be conveniently transferred to S/4HANA.
The data is checked before migration. Users are guided through the individual steps by the Migration Cockpit with HTML masks.
The Migration Cockpit checks whether the legacy data fits into the new SAP S/4HANA environment or should be revised. Before the actual integration, experts can simulate the expected result.

SAP Business Suite 4 SAP HANA, (SAP S/4HANA) is the in-memory version of the SAP Business Suite ERP platform. The new generation of the SAP ERP suite has a simplified data model and intuitive user interfaces. The open architecture is optimized for in-memory databases. The application can be run as an on-premise or cloud version and can be deployed in a hybrid environment. In 2027, SAP will discontinue maintenance and further development of the predecessor system SAP ECC 6.0.
SAP HANA is a database and software platform from SAP. The platform enables the development and integration of software applications. It is based on an in-memory technology that enables processes and analyses in real time. SAP HANA is the basis for SAP S/4HANA.
ERP stands for Enterprise Resource Planning. This is the task of controlling and planning resources in the company on time and according to demand.
